Office Manager / COO Assistant

CareTech Human is a medtech startup on a mission to make urology monitoring simple and at-home. We build hardware and software for remote health tracking and run pilots and clinical studies with partners in the US and Ukraine.We’re looking for an Office Manager / Assistant to keep our operations running smoothly—from office processes and purchasing to device shipments and partner coordination.

What you’ll do:

● Office & admin: run the Kyiv office, handle supplies and small purchases, liaise with vendors, manage contracts/invoices/acts.● Executive support: manage calendars, meetings, notes, follow-ups, travel bookings, and deadline reminders.● Logistics & shipping: prepare parcels (Nova Poshta/UPS/DHL), track serial numbers, returns, and basic inventory.● Docs & reporting: maintain neat Google Sheets, update registries, prepare invoices, and compile inputs for accounting.● Communications: correspond with clinics and partners, coordinate pilots/testing, provide timely responses to common inquiries.● Team care: onboard new hires, support basic HR rituals, organize small internal events.

Requirements:

● Excellent English.● Confident with Google Workspace; solid Google Sheets/Excel skills (filters, validations, formulas); strong document hygiene.● Superpower: attention to detail, structured thinking, proactivity, and getting things done.● “Get the job done” mindset.
